- Account Information: Username, email address, password (stored as a hash), and organization details.
- Documents & Files: Files you upload, including metadata such as file names, sizes, types, dates, and descriptions.
- Usage Data: Login timestamps, file access logs, IP addresses, browser type, and device information.
- Communication Data: Support requests and correspondence with our team.
2. How We Use Your Information
We use the collected information for the following purposes:
- To provide, maintain, and improve the e-File platform.
- To authenticate users and manage access permissions.

- To send system notifications and service updates.
- To monitor platform security and prevent unauthorized access.

5. Data Retention
We retain your data for as long as your account is active or as needed to provide services. Upon account termination:
- Account data is deactivated immediately.
- Uploaded documents are retained for 30 days, then permanently deleted.
- Backup copies are purged within 90 days of account closure.
- Audit logs may be retained for up to 12 months for compliance purposes.

Terms of Service
These Terms of Service ("Terms") govern your use of the e-File Document Management System provided by MoinfoTech Company Limited. By accessing or using e-File, you agree to be bound by these Terms.
1. Acceptance of Terms
By creating an account or using the e-File platform, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you are using e-File on behalf of an organization, you represent that you have authority to bind that organization.
2. Service Description
e-File is a cloud-based document management system that provides:
- Document upload, storage, and organization.
- Hierarchical folder and sub-folder management.
- Document search and retrieval.
- Role-based access control and user management.
- Mobile application access.
- API access for integration (Professional and Enterprise plans).
3. User Accounts
- You are responsible for maintaining the confidentiality of your account credentials.
- You must notify us immediately of any unauthorized use of your account.
- You are responsible for all activities that occur under your account.
- We reserve the right to suspend or terminate accounts that violate these Terms.
4. Acceptable Use
You agree not to use e-File to:
- Upload, store, or distribute illegal, harmful, or offensive content.
- Violate any applicable local, national, or international law.
- Infringe upon intellectual property rights of others.
- Attempt to gain unauthorized access to other users' data or accounts.
- Introduce malware, viruses, or any harmful code.
- Overload or disrupt the platform infrastructure.
- Use automated tools to scrape or extract data without authorization.
5. Subscription & Payments
- e-File is offered under subscription plans: Starter (TZS 5,000/month), Professional (TZS 10,000/month), and Enterprise (TZS 30,000/month).
- Subscriptions are billed monthly in advance.
- Prices are subject to change with 30 days prior notice.
- Failure to pay may result in service suspension after a 7-day grace period.
- Refunds are not provided for partial months of service.
6. Data Ownership
You own your data. All documents and files you upload to e-File remain your property. We do not claim any ownership rights over your content. We only access your data as necessary to provide the service.
7. Service Availability
We strive to maintain 99.9% uptime. However, we do not guarantee uninterrupted access. Scheduled maintenance will be communicated in advance. We are not liable for downtime caused by factors beyond our control.
8. Limitation of Liability
To the maximum extent permitted by law:
- e-File is provided "as is" without warranties of any kind.
- We are not liable for any indirect, incidental, or consequential damages.
- Our total liability shall not exceed the amount paid by you in the 12 months preceding the claim.
- We are not responsible for data loss caused by user error or third-party actions.
9. Termination
- You may cancel your subscription at any time through your account settings or by contacting support.
- We may terminate or suspend your account for violation of these Terms.
- Upon termination, you will have 30 days to export your data before it is permanently deleted.
10. Governing Law
These Terms are governed by and construed in accordance with the laws of the United Republic of Tanzania. Any disputes shall be resolved in the courts of Tanzania.
11. Changes to Terms
We reserve the right to modify these Terms at any time. Material changes will be communicated via email or in-app notification at least 30 days before they take effect. Continued use after changes constitutes acceptance.

Service Level Agreement (SLA)
This Service Level Agreement outlines the performance standards and commitments for the e-File platform provided by MoinfoTech Company Limited.
1. Uptime Commitment
We commit to maintaining 99.9% monthly uptime for the e-File platform, measured as total available minutes minus downtime, divided by total minutes in the month.
2. Uptime Calculation
The following are excluded from downtime calculations:
- Scheduled maintenance windows (communicated 48 hours in advance).
- Force majeure events (natural disasters, government actions).
- Issues caused by the customer's network, hardware, or software.
- Third-party service outages beyond our control.
3. Service Credits
If we fail to meet the uptime commitment, eligible customers may request service credits:
- 99.0% – 99.9%: 10% credit on monthly subscription.
- 95.0% – 98.9%: 25% credit on monthly subscription.
- Below 95.0%: 50% credit on monthly subscription.
Service credits must be requested within 30 days of the incident. Credits are applied to future invoices and do not exceed 50% of the monthly fee.
4. Support Response Times
- Starter Plan: Email support, response within 48 business hours.
- Professional Plan: Priority support, response within 12 business hours.
- Enterprise Plan: Dedicated support, response within 4 business hours, phone support included.
5. Incident Severity Levels
- Critical (P1): Platform completely unavailable — target resolution: 4 hours.
- High (P2): Major feature unavailable — target resolution: 8 hours.
- Medium (P3): Feature partially impaired — target resolution: 24 hours.
- Low (P4): Minor issue or enhancement request — target resolution: 72 hours.
6. Maintenance Windows
Scheduled maintenance is performed during off-peak hours (typically Saturday 22:00 – Sunday 04:00 EAT). Emergency maintenance may be performed at any time with best-effort advance notice.
7. Data Backup
- Automated daily backups of all tenant data.
- Backups retained for 30 days.
- Point-in-time recovery available upon request (Enterprise plan).
- Monthly backup integrity verification.
8. Security Commitments
- Data encrypted in transit (TLS 1.2+) and at rest.
- Multi-tenant data isolation with row-level security.
- Regular security vulnerability assessments.
- Access audit logging for all administrative actions.
- Incident response plan with notification within 24 hours of a confirmed breach.
9. SLA Review
